Terms and Conditions

 Welcome to the Tennessee Limo website (the “Service”). These Terms and Conditions regulate your use of the service, which is managed by Tennessee Limo. By using or accessing the service, you consent to these Terms and Conditions. If you disagree with any portion of these terms, you are not permitted to use the service.

ACCOUNTS

By establishing an account with us, you confirm that the information you provide is true, comprehensive, and up-to-date. You commit to keeping your account details current and promptly making updates to maintain their accuracy. We reserve the right to close accounts that contain inaccurate or incomplete information.

PRIVACY POLICY

Your use of the Service is subject to our Privacy Policy, which outlines our practices regarding the collection, use, and disclosure of personal information. By using the Service, you consent to the collection and use of your information in accordance with our Privacy Policy.

LIMITATION OF LIABILITY

Under no circumstances shall Tennessee Limo, along with its directors, officers, employees, agents, partners, or affiliates, be responsible for any indirect, incidental, special, consequential, or punitive damages. This includes, but is not limited to, losses related to profits, data, usage, goodwill, or other intangible losses that result from or are related to your utilization of the Service.

GENERAL TERMS

This reservation confirmation serves only as an estimate. The final charges will be determined by the actual duration of service, rounded up in increments of 15 minutes. The actual service time will also include the extra time needed for the chauffeur to check the vehicle for any belongings left behind after the final drop-off. If passengers leave before the vehicle inspection is completed, the customer will be liable for the expenses related to returning any item left behind to its owner. All reservations are billed from garage to garage: charges apply from the moment the vehicle leaves our garage until it returns.

A complete trip fee will be charged if passengers do not contact our office when they are unable to find their chauffeur. The customer will be liable for any damages caused by passengers or pets that are not in a crate, in addition to the pet fee. Tennessee Limo reserves the right to replace any requested vehicle with one of the same size or larger at no extra cost and without prior notice if the original vehicle type is unavailable. A Suggested Tip has been included for your convenience. Paying this Suggested Tip is entirely up to you and can be increased, decreased, or omitted altogether. All tips received are forwarded in full to the chauffeur.

HOURLY MINIMUMS

The hourly minimums for reservations that are hourly-as-directed or wait-and-return are determined by the type of vehicle, the day of the week, and any special event policies in place. Please verify the applicable hourly minimum for your reservation with our customer service representative. All hourly bookings are charged for the total number of hours reserved by the customer, regardless of whether the actual time used is less than the reserved hours.

GUARANTEED RATES

Secured Rates: The initial rate for your booking is locked in for a duration of 12 months. However, all additional fees, including fuel surcharges, credit card processing fees, Standard Transportation Charge (STC), airport fees, and taxes may be adjusted as needed at any time and without prior notice until the service is rendered.

PICKUP TIME

The scheduled pickup time refers to when your vehicle should be at the designated location: Airport departures and other non-airport pickups are arranged by the customer. For commercial airport arrivals, it corresponds to the gate time. For FBO arrivals, it is set for 15 minutes prior to the scheduled wheels down. 

WAIT TIME

Wait time applies to all transfer bookings once the grace period has concluded and is charged in one-minute increments at the hourly rate for the vehicle type. Grace periods are as follows: for NON airport pickups, it is 15 minutes; for airport arrivals (both Domestic and International), it lasts for 30 minutes from gate time; and for FBO arrivals, it is either 30 minutes from the pickup time or 15 minutes from the scheduled wheels down.

SERVICE FAILURES

Tennessee Limo cannot be held liable for any deviations or service failures resulting from accidents, road closures, vehicle breakdowns, bad weather, heavy traffic, natural disasters, acts of terrorism, civil disturbances, or other circumstances beyond our jurisdiction. In the event that any of these situations hinder our ability to deliver the planned transportation services, the highest amount of liability that Tennessee Limo will accept will not exceed the estimated total cost of the scheduled transportation service.

FLIGHTS THAT ARE DELAYED OR CANCELLED

Tennessee Limo monitors all incoming commercial flights and will be aware if your flight is delayed or canceled. In the event that your flight is canceled, we will proceed to cancel the reservation. It is the customer’s responsibility to reach out to our office with the updated flight details, and we will make every effort to rebook or modify that reservation without inconveniencing other clients who have made reservations. For private flights, if there is a delay, the reservation will convert to hourly/As directed terms. If a private flight is cancelled after the free cancellation period has passed, the reservation will be charged as booked unless there is a valid reason beyond the customer’s control, such as inclement weather, strikes, travel advisories, acts of God, terrorism, civil unrest, and similar circumstances.

OTHER FLIGHT ISSUES

Tennessee Limo is not liable for any flights that passengers miss, are diverted, or any other occurrences that lead to non-compliance with the Cancellation Policy. We will make every effort to meet client needs in these situations, which may include wait time fees or late cancellations and re-bookings without impacting other reserved clients. It is the passenger’s responsibility to inform Tennessee Limo if they miss their flight. If the passenger does not notify Tennessee Limo and is marked as a “No show,” they will be accountable for the full cost of the reservation. Tennessee Limo retains the right to charge hourly for any airport pickups if passengers are scheduled to arrive on different flights.

LUGGAGE CAPACITY

Our sedans, SUVs, and minibus can only accommodate their maximum passenger limit with minimal luggage space. Please contact our customer service to confirm the appropriate vehicle size that meets your requirements if you are uncertain.

CAR SEAT

Tennessee Limo will provide a car seat at no cost, subject to availability, which the customer will use at their own risk. The customer is also responsible for installing it to assume full liability.

SPECIAL EVENT

Each special event is subject to its own policy. In cases where there is no existing policy for events like concerts, games, races, festivals, etc., all transfers to and from these events will be billed at an hourly rate, calculated from garage to garage. The customer must account for event traffic that may lead to an increase in the total billable hours beyond the minimum hourly requirements. When booking, customers are obliged to inform us about the specific occasion for their transportation needs to receive an accurate quote.

ADDITIONAL FEES

Pet Fees: A $25 fee will be charged for each pet that is NOT contained in a crate, with the exception of service animals. Passengers must inform Tennessee Limo during the booking process if they will be bringing a pet (including service animals). This enables Tennessee Limo to assign a Chauffeur who has no health issues related to the pet being transported. For safety, pets must always be on a leash. Customers will be held accountable for any damages caused by pets NOT in a crate (including service animals) that exceed the initial pet fee.

    • Off-hours Fees: Any reservations scheduled for a pickup between 12:00 am and 05:00 am will incur a $25 Off off-hours fee. 
    • Holiday Fee: A $25 Holiday Surcharge will be added for New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, Christmas Day, and both Christmas Eve and New Year’s Eve starting at 5:00 PM. 
    • Any parking fees or tolls are additional and will be billed at cost. 
    • A 3.5% Credit Card Processing fee will be assessed on all Visa, MasterCard, Discover, and American Express credit card transactions. The fee covers the processing costs associated with credit card payments. 
    • A fee of $25 will be charged for the first stop that is under 2 miles off the planned route, with a maximum wait time of 15 minutes. After the grace period, any wait time will incur additional charges on top of the stop fee. Any further stops beyond the first or any stop that exceeds 2 miles from the scheduled route will convert the reservation to an hourly rate, subject to the minimum billable hours.
    • Cleaning charge: A fee of $500 per incident will be charged for the biohazard cleaning and sanitization of any bodily fluids. For any other extensive cleaning necessary due to excessive trashing of the vehicle by passengers, a cleaning fee of $250 will apply. If an ionization process is required to eliminate smoke odor, a cleaning fee equivalent to 5 hours of the vehicle’s applicable rate will be assessed. 
    • Overnight Trip Fees: The customer is financially responsible for any overnight lodging and per diem for the driver(s) whenever required.   

ADDITIONAL USER CONDUCT

Users consent to utilize the Service following all relevant laws, regulations, and ordinances. Users must refrain from participating in any behavior that is illegal, threatening, abusive, harassing, defamatory, or otherwise unacceptable while using the Service.

PROHIBITED ACTIVITIES

Users agree not to participate in any of the following disallowed activities:

    • Attempting to disrupt the normal operation of the Service.
    • Attempting to circumvent any security protocols or gain access to restricted sections of the Service.
    • Submitting, sharing, or distributing any material that violates the rights of others or breaches any intellectual property laws.
    • Participating in any deceitful actions or unauthorized dealings through the Service.

CHANGES AND UPDATES

Customers are allowed to make adjustments as needed during the free cancellation period, as long as Tennessee Limo has the necessary resources and capability to support these changes. Once the free cancellation period has ended, any requests to modify the service may necessitate re-booking a new service, with the initial service charged as planned.

CANCELLATION POLICY (EXCLUDING SPECIAL EVENTS)

Sedans and SUVs are used for airport transfers; cancellations must be made 2 hours prior to the scheduled pick-up time if the drive time is under 60 minutes. For those with drive times over 60 minutes and for all non-airport reservations, the notice period is 24 hours. 

Sprinter vans, a cancellation notice of 7 days is required. 

Mini-coaches, super coaches, and motor coaches, cancellations must be made 30 days in advance. 

Cancellation requests should be emailed to info@tnlimos.com  or tnlimo4all@gmail.com with “Cancellation Res# xxxxx” and the confirmation number included in the subject line or made by contacting a live agent by phone. Voicemail messages will not be accepted as valid cancellation requests. 

INCORRECT INFORMATION

The Customer is accountable for checking the accuracy of the information in this reservation confirmation and must respond to the confirmation email with any necessary corrections if there are inaccuracies present. Tennessee Limo will not accept any liability for service failures if the information provided is incorrect and the customer did not review and address the required corrections.

CREDIT CARD PRE-AUTHORIZED BEFORE TRIPS

The Customer card on file (debit or credit) will be pre-authorized for the full amount of the scheduled services + 30% for incidental charges such as wait time and additional stops. It is very important to understand that when you use a debit card to pay for your service, your bank puts a temporary hold for the pre-authorized amount and the 30% overage may not be released back into your account, by your bank, for up to 7-10 business days. It is also important to note that if we must credit your debit card for any reason it may also take up to 7-10 days for your bank to process the credit. TENNESSEE LIMO CANNOT BE RESPONSIBLE FOR ANY BANK’S POLICY ON HOLDING PREAUTHORIZED FUNDS OR THE LENGTH OF THE HOLD TIME. 

DEPOSITS AND RETAINERS

At the time of reserving the service, a non-refundable retainer fee, determined by a per-vehicle basis, must be paid. If the transportation services are canceled at least thirty (30) days prior to the service date, the non-refundable retainer fee will be lost. The remaining balance of the fees will be charged to the credit card on file thirty (30) days before the date of the transportation services. Once the remaining balance is charged to the credit card on file, all fees become non-refundable. ALL DEPOSITS AND ALL RETAINER FEES ARE NON-REFUNDABLE.

REFUND POLICY

All sales are non-refundable. Tennessee Limo does not provide refunds for services rendered. In exceptional situations where a refund might be justified, for instance, a billing mistake or other unique circumstances, we will evaluate requests individually. If you have any concerns, please do not hesitate to reach out to us. By making a purchase with Tennessee Limo, you acknowledge and accept this refund policy.

TERMINATION OF SERVICE

Tennessee Limo has the discretion to halt or end access to the Service at any point, without prior notification or responsibility, for any reason, including but not limited to violations of these Terms and Conditions or any fraudulent or unlawful conduct.
